Process

From intake folder to findings memo

A clear sequence so finance officers know what happens to their cost schedule once the engagement letter is signed.

Colour-coded notes and folders representing a structured review process

Scoping call

We confirm the funder or tender rules, the period covered, partner count, and which annexes sit in scope. You leave with a fee range and a provisional delivery date tied to your lodging calendar.

Document intake

You send the cost schedule, ledgers or working files, major contracts, payroll extracts, and any prior clarification letters. We acknowledge gaps before testing begins.

Line testing

Material lines are tested against evidence and eligibility notes. Short annexes may be tested in full; longer ones use sampling with clear coverage notes in the memo.

Findings draft

You receive a severity-ordered memo: lines that stand, lines that need stronger proof, and lines that should be withdrawn or restated before lodging.

Close-out briefing

We walk through the findings with your finance contact and, if requested, hand over a corrected schedule draft for your internal approval.

What you prepare

Near-final annex, funder cost guidance, supplier contracts for large lines, payroll extracts for claimed staff time, and a contact who can answer questions within forty-eight hours during the review window.

What we never do in this process

We do not create invoices, backdate approvals, or promise that a funder will accept the application. Our job is to make the cost story honest and followable.

Questions we hear

Process FAQ

Can you start before the annex is finished?

Yes, for evidence pack work. For a full audit we prefer a near-final schedule so findings do not go stale when rows keep moving.

Do you visit project sites?

When plant, stock, or construction works form a large share of claimed costs, we can arrange on-site walkthroughs in Songkhla and Pattaya. Most reviews remain document-led.

Will you speak to the funder?

Only if you ask us to and the engagement letter covers it. Otherwise you remain the applicant of record.
